1. Introduction
This Privacy Policy sets out how AIME 52 LTD, trading as aime, a company registered in England and Wales under company number 16934337 with its registered office at Isabella House, 24-26 Regents Place, Birmingham, B1 3NJ, United Kingdom ("aime," "we," "our," or "us"), collects, processes, stores, and safeguards personal information in connection with your use of our services, websites, applications, and related offerings (the "Services"). AIME 52 LTD is the controller of the personal information described in this Privacy Policy. The Services are designed exclusively for teachers and educators who are eighteen years of age or older. Pupils cannot hold an aime account. When a teacher uses some features of the Services with their class, aime processes limited information about those pupils on behalf of the teacher and their school, as set out in section 4A. Apart from that, we do not knowingly collect personal information relating to pupils or to individuals under the age of eighteen.
aime is committed to processing personal information lawfully, fairly and transparently, in accordance with the UK GDPR and the Data Protection Act 2018 and, where it applies, the General Data Protection Regulation (EU) 2016/679. Please read this Privacy Policy so that you understand how we use your information and the information of the pupils you teach with aime.
2. Information We Collect
When you create an account with aime, we collect certain information that is necessary for registration and operation of the Services, including your name, your email address, encrypted login credentials, and, where you choose to provide it, the name of your school or organisation. If you subscribe to paid Services, billing information is processed exclusively by Stripe, Inc. or its affiliates. Stripe may collect payment card details and billing addresses to facilitate transactions; however, aime does not access or store full payment card information at any time.
In the course of your use of the Services, we may collect data concerning your activity within the platform. This includes records of lesson generation requests, curriculum pacing plans, reflection entries, and technical information such as your IP address, browser type, and operating system. Where practicable, this data is anonymised and is used to enhance system performance, monitor service stability, and improve the overall user experience. If you contact our support team, we also collect the content of your communications, including your email address and any information you choose to provide in your request.
If you ask Eva, aime's assistant, a question, we keep your question, Eva's answer and any feedback you give, so that we can check and improve her answers. If you talk to Eva by voice, where that feature is switched on for you, your speech is processed to answer you and is not recorded or kept by aime; we keep only the short notes Eva saves for you, your preferences, and a record that a call took place, without its content. If you use the aime teacher app on Android and allow notifications, we keep your device's notification address so that we can send you notifications through Google Firebase Cloud Messaging.
3. Third-Party Data Collection
Certain aspects of the Services are provided in partnership with trusted third parties who process data on our behalf. They are named, with what they process and where, in our Sub-Processor List.
All subscription payments are processed through Stripe. While Stripe may collect payment credentials and billing information, aime does not store or retain this data. If you log in to the Services using Google or Microsoft single sign-on, authentication is conducted by those providers. aime receives only limited profile information necessary to establish your account, such as your name and email address.
If you connect Google Classroom, aime syncs, on your behalf and under Google's terms, the classes you choose and the coursework submissions for assignments you set through aime: each submission's state and grade. aime does not keep the student's name, email address or Google account identifier from a submission, and does not read your class roster. aime processes these submissions only to show you how your class did, on behalf of you and your school.
The Services use artificial intelligence models to generate lesson content and to answer you and your pupils. Most of this is done by open-weight models that aime runs on rented computing capacity, so the text is not shared with a model company for its own purposes. Some features, such as illustrations, picture descriptions and the audio of study-pack podcasts, are made with Google's Gemini models from your lesson content. AI output can be wrong, and you should check it before you rely on it. The providers are listed in our Sub-Processor List.
4. Information We Do Not Collect
aime does not create accounts for pupils and does not collect pupils' email addresses, dates of birth, home addresses or other contact details, Google account identifiers, or class rosters. Pupil pages in the Services, and the aime jam app, do not use analytics or advertising cookies or tracking. We do not ask for sensitive categories of data such as biometric identifiers, health information, or political or religious beliefs. The limited information about pupils that the Services do process is described in section 4A.
4A. Information About Pupils
Some features are used by a teacher with their pupils. When they are, aime processes the following on behalf of the teacher and their school, who decide whether to use these features and remain responsible for the pupils' information. aime acts as their processor, uses this information only to provide the feature to the teacher and their class, and does not use it for advertising or sell it.
Live lessons and set work in aime jam. The name or nickname a pupil types to join, the questions they ask, their quiz, exit-ticket and homework answers, a raised hand, and the drawings they make on a shared board. A random code stored on the pupil's device lets them stay in the lesson; it does not identify them. If a pupil uses the aime jam app and allows notifications, the app's notification address. A teacher may also give each pupil a short pupil code, which links their work to a numbered pupil in the class without naming them. We use this to run the lesson and to show the teacher how their class answered. When a class votes on a lesson drama, the teacher and the class see only the totals.
Lesson recordings (aime pro and aime pro+). The audio the teacher's microphone records during a lesson, which may include pupils' voices and anything said in the room, such as names. Where the teacher uses automatic transcription, a transcript and summary are made from that audio by the AI provider named for transcription in our Sub-Processor List; pupils see them only after the teacher publishes them and the pupil signs in with their pupil code. We use this to let the teacher and their class replay the lesson.
Feedback on pupils' work. A photo of a pupil's work, the teacher's voice note and comment, and an optional label the teacher chooses for the pupil, such as initials or a first name. We use this to deliver the teacher's feedback to that pupil.
Take-home packs and Leo, the study coach. Pupils open a take-home pack through a link that does not name them. When a pupil checks their quiz answers there, the teacher sees only class totals, which do not identify any pupil. If the teacher's school uses Leo, a pupil can chat with Leo about the lesson. What the pupil types, and the lesson it is about, is sent to the AI model aime runs to write Leo's replies. Leo does not know the pupil's name. If a pupil says something that suggests they may be at risk, Leo answers with safety guidance written by people, and the teacher is told. A pupil can report any reply from Leo.
Google Classroom. The state and grade of coursework submissions, as described in section 3, without the pupil's name or identifier.
Who processes it. This information is stored on Google Cloud in Frankfurt, Germany, in the European Union. Leo's chats are sent to the AI model aime runs, as described above. aime does not send pupils' photos of their work to an artificial intelligence provider; before it does, it will add that provider to our Sub-Processor List and tell schools first. aime does not use pupils' information to train AI models, for advertising, or to build profiles of pupils, and does not sell it.
How long we keep it. Pupils' names, questions, answers and notification addresses from a lesson or piece of set work are deleted 90 days after it ends. Shared-board drawings are deleted when the activity ends, and within 12 hours at the latest, unless the teacher saves one. A Leo chat is deleted when the pupil's session ends; if Leo or the pupil flagged it, it is kept for 30 days so that the teacher can follow up, and then deleted. Drama votes and take-home quiz results are kept only as totals that do not identify a pupil. The photo, voice note and pupil label on work feedback are deleted 90 days after the feedback is sent. Lesson recordings, with their transcripts and summaries, are deleted at the end of the school term in which they were made, or after 120 days where the term is not known. When a teacher deletes their account, all of this information from their lessons is deleted at once.
4B. Pupils, Parents and Schools
For the information in section 4A, the school, or the teacher where they teach independently, decides whether and how to use aime with pupils and is the controller of the pupils' information. aime acts as its processor: we process that information only on the school's or teacher's instructions and to provide the Services, under our terms with them.
aime is the controller only of totals for a class that do not identify any pupil, such as how many pupils in a class tried a question and how many got it right, and the drama vote and take-home quiz totals. We make these totals from the information in section 4A and use them only to improve our lessons and content, on the basis of our legitimate interests. We never use them to make decisions about a pupil, and we leave out or merge any class that is small enough for a total to point to a pupil.
The school is responsible for having a lawful basis for using aime with its pupils, and for telling pupils and their parents or carers about it. aime gives pupils a short notice, written for them and their parents, on the pupil pages and in the aime jam app.
If you are a pupil, or the parent or carer of a pupil, and you want to see, correct or delete information about you or your child, please ask the school. The school can do much of this itself in aime, and aime will help the school with any request within ten working days of the school asking. If you contact aime directly, we will pass your request to the school, tell you that we have done so, and help the school to answer it. You can also complain to the Information Commissioner's Office (ico.org.uk).
5. Purposes of Processing
Personal information is processed only for the purposes necessary to provide and improve the Services. These purposes include authenticating accounts, delivering core functionality, managing subscriptions and billing, responding to support inquiries, improving service reliability and performance through analytics, and complying with applicable legal and regulatory obligations. aime does not sell, lease, or otherwise monetise personal data.
6. Legal Bases for Processing
Where the UK GDPR or the GDPR applies, we rely on the following lawful bases for processing personal data. Processing is carried out when it is necessary for the performance of a contract, specifically to deliver the Services to which you have subscribed. In certain cases, we rely on your consent, for example when you choose to receive optional communications. We may also process data on the basis of our legitimate interests, including service improvement, fraud prevention, and account security. Finally, we may process personal information where required to comply with a legal obligation, including obligations relating to tax and accounting. For pupils' information, the lawful basis is decided by the school as controller, as explained in section 4B.
7. Where Your Data Is Hosted and International Transfers
aime's platform and the information it holds are hosted by Google Cloud in Frankfurt, Germany, in the European Union, with backup copies in the Netherlands. Some of the service providers described in this Privacy Policy, such as our payment, identity verification and artificial intelligence providers, may process personal information outside the United Kingdom and the European Economic Area. Where personal information is transferred outside the United Kingdom or the European Economic Area, we protect it with appropriate safeguards, such as the UK International Data Transfer Agreement or Addendum, the EU Standard Contractual Clauses, or a finding of adequacy, so that it receives an equivalent level of protection.
8. Data Retention
We retain account information for the duration of your active subscription. If you choose to delete your account, data including lesson plans, pacing information, and reflection entries will be deleted within thirty days, except to the extent that retention is required by law. Information about pupils is kept only for the periods set out in section 4A. Billing and financial transaction records may be retained for up to seven years in order to satisfy applicable legal, accounting, and regulatory obligations.
9. Data Security
aime employs industry-standard technical and organisational measures designed to protect personal information against unauthorised access, alteration, disclosure, or destruction. These measures include encryption of data in transit using TLS protocols, encryption of data at rest using AES-256 standards, the use of role-based access controls to limit internal access, and the implementation of regular security audits and penetration testing. aime also maintains an incident response program to investigate and remediate potential breaches of security. While aime takes all commercially reasonable steps to secure information, no system of electronic storage or transmission can be guaranteed to be completely secure.
10. Teacher Rights
You have the right to request access to the personal information that aime holds about you, to request the correction of inaccurate or incomplete information, and to request the deletion of your data where appropriate. You may also exercise the right to restrict or object to certain types of processing, to request the portability of your data, and to withdraw consent for optional communications without affecting the lawfulness of processing based on consent before its withdrawal. Requests to exercise these rights may be submitted to privacy@aime52.com. We will respond to such requests within thirty days as required by applicable law. You also have the right to lodge a complaint with the Information Commissioner's Office (ico.org.uk) or with the data protection authority where you live.
11. Children's Privacy
Accounts are for teachers and educators aged eighteen or over; children cannot hold an account. Pupils take part only through the features their teacher uses with them, and their information is processed on behalf of the teacher and their school as set out in section 4A. If aime becomes aware that any other personal data has been collected from an individual under eighteen, we will delete it within seventy-two hours.
12. Changes to This Policy
We may update this Privacy Policy from time to time in order to reflect changes in legal requirements, best practices, or the nature of our Services. We will tell you about material changes by email or in the Services before they take effect, and the date at the top of this policy shows when it last changed.
